Various states have  begun to implement Controlled Substance reporting.  Each state has slightly different requirements but Apothesoft supports 13 different states.

 

You must configure the system for your state.  Refer to the individual state instructions below the screen example.

 

To automatically transmit your controlled substance data directly from the ApotheSoft system select from the report menu:

  (1) Reports/Drug/Controlled Substance RX Report

  (2) Enter the date range desired

  (3) Select your state

  (4) Click GO

 

The report will be created and you should print the report for reference.  Once the report is printed click OK on the prompt to transmit the file.  A message of success or failure will be displayed after the transfer.  To re-transmit run the report again (printing should not be necessary if previously printed) then select OK to transmit when prompted.

 

Refer to any instructions or the help desk number in your state for more information.

 

Follow steps 1-5 (see numbered notes in screen example) to configure your system:

 

Tennessee

 

Follow the steps as noted in the screen image above.

(1) Click here to read the configuration record

(2) Enter your DEA number

(3) Enter the User ID and Password supplied by the state.

  Note that you must get a User ID from the state specifically enabled for Secure FTP.

(4) Enter exactly  HOST=tnrxreport.com:991,PHARMID=your-dea-number
  Substitute your pharmacy DEA number for your-dea-number above

(5) Click Here to save

You can use the above link to manually upload files and check the status and make corrections for automatic uploads.

 

For manual uploads you can find the file to be uploaded in the C:\ApotheRX\reports folder.

The file will be named as   DEAnumberDate.DAT

 

Hawaii

 

You MUST enter the Alternate Patient ID in the PATIENT MISC INFORMATION section of the patient screen

according the the documentation supplied by the State of Hawaii.

 

The State of Hawaii also requires that PGP encryption be used.  The very first time files are

transmitted you will be prompted to load the Hawaii Public Key and generate your Pharmacy Key.
